Karuizawa is a scenic mountain resort town nestled at the foot of Mount Asama in Nagano Prefecture, just over an hour from Tokyo by bullet train. Known for its cool climate, charming European-style architecture, and lush natural surroundings, Karuizawa has long been a popular getaway for Tokyoites seeking respite from the summer heat. The town offers a blend of outdoor recreation—such as cycling, hiking, and skiing in winter—with upscale shopping, gourmet dining, and cultural attractions. Its elegant yet relaxed atmosphere makes it a favorite year-round destination for both domestic and international travelers. The conference will take place at Karuizawa Prince Hotel West, a conveniently located venue just steps from the train station, offering comfortable accommodations and easy access to the town's many attractions.

Tips on travel in Japan

Visa and Mastercard are widely accepted in Japan, especially at hotels, department stores, major restaurants, convenience stores, and larger shops, but it is still useful to carry some cash for smaller restaurants, local shops, temples, markets, taxis, or rural areas. For getting around, we strongly recommend getting an IC card such as Suica, PASMO, or ICOCA. These rechargeable tap-to-pay cards work on most trains, subways, and buses across Japan, and they can also be used at convenience stores, vending machines, coin lockers, and many shops. You can either add a Suica/PASMO to Apple Wallet or buy a physical/tourist IC card after arriving; note that some visitor IC cards are valid for 28 days and unused balances may not be refundable. Overall, a credit card plus an IC card and a small amount of cash is the easiest setup for traveling in Japan.

Visa Information

Most conference participants will need a valid passport and, depending on their nationality, may also require a visa to enter Japan. Citizens of many countries and regions can enter Japan for short-term business or conference visits without obtaining a visa in advance, while others must apply through their local Japanese embassy or consulate.

Participants are encouraged to check the entry requirements well in advance of their travel and begin the application process early if a visa is required. If you need an invitation letter or other supporting documents for your visa application, please contact the conference organizers as soon as possible.
